Maximising the potential of your ERP systems like Sage X3 and Intacct often comes down to clever use of existing features for better data insights, rather than just relying on the latest bells and whistles. One area where many businesses can gain significant advantage is by integrating operational data with their financial numbers.

Let's focus on a hands-on tip for Sage Intacct, specifically using Dataflow to bring in non-financial operational data to enrich your project reporting. This allows you to combine diverse metrics, like project labour hours from an external timesheet system, directly with your project costs and revenue within Intacct for a more complete picture of project performance.

Here’s how to do it:

Goal: Enhance project profitability reporting by bringing project labour hours from an external timesheet system into Intacct, allowing you to report on hours alongside costs and revenue using Intacct's powerful reporting tools.

Prerequisites: You'll need appropriate user permissions in Intacct to access Dataflow and import data. Also, ensure you have a "Statistical Account" set up in Intacct to record these non-financial hours (e.g., named "Project Labour Hours").

Step 1: Prepare Your External Data File

  1. Export your project labour hours data from your external timesheet system into a CSV (Comma Separated Values) file.
  2. Ensure this CSV file includes key identifiers that match your Intacct project dimensions. For example, columns like:
    • Project ID
    • Task ID (if you track tasks within projects)
    • Employee ID (optional, if you want to analyse by employee)
    • Date
    • Hours Worked
  3. Critically, make sure the Project ID and Task ID in your CSV file exactly match what's set up in Intacct for your projects and tasks.

Step 2: Access Dataflow in Intacct

  1. Log into your Sage Intacct account.
  2. Navigate to the Company module.
  3. Look for and click on Dataflow. (The exact menu path might vary slightly based on your Intacct configuration, but it's typically under the Company section or an Integrations menu.)

Step 3: Create a New Data Template (Mapping)

  1. Within Dataflow, you need to set up a "Data Template" or "Mapping" to tell Intacct how to understand your external CSV file.
  2. Click on an option like "Create New Data Template" or "Add Integration."
  3. Give your new template a clear, descriptive name, such as "External Project Hours Import."
  4. For the "Target Object," which is where this data will go in Intacct, select Journal Entry. This allows us to post to a Statistical Account.

Step 4: Define Your Source Fields

  1. You'll be prompted to define the columns that are in your CSV file. List them out exactly as they appear in the header row of your CSV (e.g., Project ID, Task ID, Employee ID, Date, Hours Worked).
  2. Specify the data type for each column (e.g., Text for IDs, Date for Date, Numeric for Hours Worked).

Step 5: Map Source Fields to Intacct Target Fields

This is the most crucial part – you'll link each column from your CSV to a corresponding field in Intacct's Journal Entry:

  • For the Date: Map your CSV's Date column to the Date field in the Intacct Journal Entry.
  • For the Statistical Account:
    • In the Account ID field for the Journal Entry line, select your "Project Labour Hours" Statistical Account.
    • Map your CSV's Hours Worked column to the Quantity field for the Journal Entry line.
  • For Dimensions (Project, Task, Employee):
    • Map your CSV's Project ID to the Project dimension field for the Journal Entry line.
    • Map your CSV's Task ID to the Project Task dimension field for the Journal Entry line.
    • Map your CSV's Employee ID to the Employee dimension field for the Journal Entry line (if you included it).

Step 6: Perform the Import

  1. Once your data template is saved, you can use it to bring in data.
  2. Select your "External Project Hours Import" template.
  3. Upload your prepared CSV file.
  4. Dataflow will usually provide a preview or validation step. Take the time to review any errors or warnings shown.
  5. Execute the import process.

Step 7: Verify and Report

  1. After the import is complete, navigate to your General Ledger or Custom Reports section in Intacct.
  2. Create a new custom report or modify an existing one.
  3. Add your "Project Labour Hours" statistical account to the report.
  4. You can now slice and dice this data by Project ID, Task ID, Employee ID, and Date. This allows you to build powerful reports that show Project Costs (from your financial accounts) alongside Project Labour Hours (from your statistical account), giving you a much richer and more granular view of project performance and efficiency.

By following these steps, you're leveraging Intacct's Dataflow capabilities to integrate valuable operational insights directly into your financial system, enabling better decision-making for your medium to large enterprise projects.
